What is HubSpot Onboarding?

HubSpot onboarding is the process of configuring your HubSpot portal to meet your specific business needs. It lays the foundation for successful B2B Inbound Marketing, sales, and service efforts within the HubSpot ecosystem.

While this onboarding process should be done at the start of your HubSpot investment, it can also be done at a later date if you believe that your business isn't using the HubSpot platform to its true potential.

Depending on the specific Hubs you bought, HubSpot onboarding could walk you through any of the following:

Why the Order Matters More Than the List

Because several of these settings resolve once, at the moment they are used, and cannot be applied backwards.

There is a second reason sequence decides the outcome. The room approving this platform is five to twelve stakeholders across six roles, from the economic buyer to the compliance influencer and the blocker, and the path to contract runs through a procurement and compliance review that reads the configuration rather than watching a demo of it. Gartner's 2025 B2B buyer survey found technology buying groups now range from 5 to 16 people across as many as four functions, so the size of the room is not a regional feature. What follows for a checklist is narrow: the settings that review will open have to be right the first time, because most of them cannot be reset once records have been written against them.

That review stage has to live somewhere in the portal from day one, and lead status is a safer home for it than lifecycle stage. HubSpot models lead status as a sub-stage of the Sales Qualified Lead lifecycle stage, so a procurement and compliance review tracked there is scoped inside SQL rather than sitting alongside the funnel, and nothing documented resets it when lifecycle moves. The reason that matters is what lifecycle will not do: it moves forward only. HubSpot's own tools cannot set an earlier lifecycle value at all, and the property has to be cleared manually or by workflow before an earlier stage can be set. A deal that fails its compliance review cannot simply be walked back down the funnel, and updates to a company's lifecycle stage roll down to its associated contacts while the reverse does not hold.

The Decisions That Cannot Be Reversed

Work through these before the standard setup below. Each one is either irreversible or costs a rebuild to undo.

  • Create the preferred-language property before the first list that reads it. A list cannot filter on a property that is not there yet, which puts this ahead of everything in the standard setup below. Two timing facts decide how much slack you have afterwards, and neither leaves much: a static list is a snapshot of who qualified when it was saved, and an active list can take up to an hour to refresh after a bulk property update, so a segment backfilled and sent against immediately can go out short with no error. On an email scheduled by recipient time zone, which needs Marketing Hub Professional or Enterprise, recipients are fixed at schedule time and contacts added later are not sent it at all.
  • Check the import matching keys before the first import. Contact imports deduplicate on Record ID, then email address; company imports on Record ID, then domain name. Subdomains do not collapse, so a Gulf group's subsidiaries on @example.com and @info.example.com land as separate companies. What does go wrong is the association: where several companies hold the same domain value, contacts with emails at that domain are automatically associated with only one of them, and HubSpot states it is not possible to select which. Fixing that by merging is the one step with no way back, because HubSpot does not unmerge records at all.
  • Decide marketing contact status at every source that creates a contact. Marketing contacts exist on Marketing Hub Starter and above, so on those portals this is a live decision. A multi-object or multi-file import always creates contacts as non-marketing with no override, while a single-object contacts import carries a "Set these contacts as marketing contacts" checkbox chosen fresh in that import's Details step. Tick it on a one-off Arabic newsletter file and the whole file converts in one action, and reversing it is slower than making it: a contact already set as marketing in a given month only returns to non-marketing on the portal's next update date, with the Marketing contact until next update property reading Yes in the meantime. An inherited list flagged during a migration cannot be unflagged in the cycle you notice it, and the billing tier lags further still, since removing marketing contacts does not automatically downgrade it before renewal. Imports are the source you choose each time; the one that decides itself is the non-HubSpot forms switch under Forms below, which arrives on.
  • Split subscription types by language, before the audience exists. One subscription type shared by Arabic and English sends means an unsubscribe from either stops both. Splitting is directly supported, since a subscription type carries its own Language field, and custom types need Marketing Hub Starter or above, so a portal on free tools cannot create them. The reason this belongs in the irreversible list is what a new type does to contacts you already hold: on an EU-hosted portal, which is how signups from this region are provisioned, a newly created type starts every existing contact at Not specified, and a contact in that state cannot be emailed without explicit consent first. Split late and you do not divide an audience, you create a second one nobody may be sent on until consent is collected again. Types can be archived but not merged or deleted.
  • Answer data residency before the RFP asks. The hosting region is assigned by IP geolocation at signup, and signups from the Middle East and Africa have defaulted to the EU region since 19 July 2021. Plan on that being final rather than something to revisit: HubSpot offers a move to another regional data center only out of its US East data center, and only where the data is already hosted in the United States, so a portal bought here cannot be relocated later and the answer has to be handled in the compliance conversation instead. There is still no in-region hosting for the UAE or Saudi Arabia. Which answer is the correct one depends on where the entity is registered, which is on the trade licence: a Dubai company inside the DIFC answers to DIFC Data Protection Law No. 5 of 2020 and one inside ADGM to the ADGM Data Protection Regulations 2021, both separate regimes from the federal UAE personal data protection law.
Standard Setup for All HubSpot Hubs
  • User & Team Permissions: Define user roles and access levels for data security and efficient workflows.
  • Account Settings: Update account details, the portal time zone and notification preferences.
  • Tracking Code: Install the HubSpot tracking code on websites not hosted in HubSpot to monitor traffic and user behaviour.
  • Branding: Customize your portal with your brand logo, colours, and fonts for a consistent experience.
  • Privacy and Consent: Data privacy settings are a portal-level switch rather than a per-form option, available on all products and plans, and changing them takes a Super Admin or the Edit account defaults permission. Start by checking the state of the switch instead of planning to flip it: HubSpot turns data privacy settings on by default for EU accounts, meaning accounts whose data storage is based in the EU, which is how portals bought from this region are provisioned. On or off, the setting is not retroactive. Only newly created forms get a data-privacy section in their footer, and for existing forms the notice and consent information has to be added to each one by hand, so on a portal that arrived with the setting on, that manual sweep has been owed since the day the portal existed. Sequence it against the form inventory, not against the form in front of you. It also does not populate legal basis for you: consent and legal basis reach contact records through a list import, a bulk edit, or manual contact creation.
  • App Integrations: Connect relevant apps like Slack, Stripe, or Microsoft Teams to streamline communication and processes. Where the entity invoices in Saudi Arabia, the finance integration is not a phase two item: the Zakat, Tax and Customs Authority runs a two-phase e-invoicing mandate, with a generation phase enforceable from 4 December 2021 and an integration phase enforceable from 1 January 2023, rolled out in waves by taxpayer group.

Whether one form can vary that by market is a subscription question rather than a platform limit. The "required" flag is set on the field and cannot be dodged by hiding it, so on a Starter or free portal the field has to be optional for everyone; on Marketing Hub or Content Hub Professional or Enterprise, conditional logic can show or hide it on the answer to a Country field, and one form can ask in Cairo and skip in Dubai. One regional trap on the same screen is not tier-gated at all: a phone number field takes its country code from the visitor's device IP, and it cannot be hidden or set manually, so an Egyptian visitor to a UAE campaign is prefilled +20. Check one setting in the same pass: at Settings > Marketing > Forms > Non-HubSpot Forms, the switch setting new contacts created through non-HubSpot forms as marketing contacts is turned on by default, so a legacy or WordPress-hosted form still embedded anywhere on the site is quietly creating marketing contacts against your tier without anyone having chosen that.
  • Social Media Integration: Connect your social accounts to HubSpot for centralized management.
  • Contact Segmentation: Define criteria to categorize contacts as marketing or non-marketing for targeted campaigns.
  • Workflow Setup: Set up automated email campaigns to target individuals based on specific actions that they take, helping to move them through their buyer's journey. The tool itself needs Professional or Enterprise, so a Starter portal has no execution window to configure. Where it exists, the window is set per workflow, by day of week and time, against the account's own time zone, so a single portal cannot hold a Sunday to Thursday week for a Riyadh team and a Monday to Friday week for a UAE public sector account at once. That split lives in separate workflows or in branch logic, and it is easier to build than to retrofit. Two limits are worth knowing before you rely on it: the window governs actions after enrollment rather than enrollment itself, so records still enrol on a Friday and queue, and an account with no time zone set falls back to EST, which puts every Gulf send hours out with nothing raising an error. Set the portal time zone under Account Settings above and the window means what you think it means.
HubSpot Content Hub Specific Setup
  • Website Settings: Configure your website pages, landing pages, and blog in Content Hub, or connect your existing domain.
  • Website Theme: Select a theme that aligns with your brand and user experience preferences. If the site serves Arabic, read the theme's base template first: right-to-left layout comes from the dir attribute there, not from the page's language setting, so selecting Arabic in a multi-language page group changes the language tag and the switcher and leaves the layout running left to right. Correcting it afterwards means editing the base template of a theme you have already built pages on, so this is a decision at theme selection, not a styling pass later.

A workflow cannot simply send a WhatsApp the way it sends an email.

What the Calendar Does to the Plan

The go-live date is a checklist item too, and it is the one the calendar decides for you.

Eid holiday dates are confirmed by moon sighting and are commonly announced only days in advance, so the exact working days of a launch week are not known when the quarter's plan is signed. The plan has to name which sends and which training sessions move with the announcement and which are fixed, because that answer is needed before anyone can say the date has slipped. Think with Google's 2022 Ramadan research recorded a 45% year-on-year rise in search interest for Ramadan and Eid Al-Fitr: consumer behaviour rather than B2B, but the same fortnight your campaign calendar is competing inside.
