Email address drives deduplication, and where Zoho holds a full name in a single field, HubSpot splits it into First Name and Last Name on its own terms: everything up to the first space becomes the first name, everything after becomes the last. Run a name like Abdul Rahman bin Saeed Al Suwaidi through that rule and the surname absorbs three names it should not have, a break that repeats for any name entered in Arabic script.

A Zoho Lead becomes a HubSpot Contact carrying a lifecycle stage of 'Lead', which is a translation rather than a like-for-like move: Zoho holds Leads as their own object converting into a Contact, an Account and a Deal on qualification, while HubSpot has no equivalent object at all, only Contacts stepping through lifecycle stages. Handle the conversion logic with care, since it is the one place the two data models genuinely disagree.

Deduplication runs on company name and domain together, and where both fields exist HubSpot will match two records sharing a name but not a domain, and equally two sharing a domain but not a name. A regional group with a holding company and several free-zone or mainland entities usually sits behind one shared domain, so the domain half of that rule pulls entities together that need to stay separate for entity-level reporting; decide which accounts are genuinely distinct before the first sync runs.

Custom modules do sync across to HubSpot custom objects, but only where HubSpot Enterprise is already in place; the object is listed as shared on the app's HubSpot marketplace listing (read 2026-07-31), with no default field mappings published for it. That means every field on a custom module is a mapping decision made by hand, which matters most where the modules carry the actual regional workflow: units and towers in real estate, tenders and pre-qualifications in construction, licensed entities in financial services.

Nine Things the Sync Does Not Tell You

Each one is documented, and each one has ended a migration in a bad week.

Lead Object Model Mismatch

Every Lead conversion workflow and every lead-specific automation needs a full redesign rather than a port, because the two platforms model a prospect differently at the root. Zoho treats a Lead as its own object that converts into a Contact, an Account and a Deal once qualified; HubSpot has no separate Lead object at all, only Contacts moving through lifecycle stages. Settle the lifecycle stage map before touching a single automation, since everything downstream depends on it.

Workaround: Set every migrated Zoho Lead down as a HubSpot Contact with its lifecycle stage set to 'Lead', then let HubSpot's lifecycle stage automation reproduce the qualification path Zoho used to run through Contact, Account and Deal creation. Get that automation right before go-live: it is what stands in for a data model Zoho no longer has to offer.

Modified by Field Required for Zoho Sync

Nothing syncs correctly until the 'Modified By' field sits on every Zoho CRM object headed to HubSpot: without it, the sync has no way to detect that a record has changed at all. It is an easy step to miss precisely because it happens inside Zoho before HubSpot enters the picture.

Workaround: Add the Modified By field to every Zoho CRM module layout you intend to sync, and do it before the integration is connected rather than after the first sync fails to pick up a change.

Field Type Incompatibilities

A Zoho decimal field, a lookup field or a multi-select picklist may have no direct HubSpot equivalent, and picklist values such as industry types or lead sources must match exactly between the two systems or the sync fails for that field alone. Where a picklist carries emirate, jurisdiction or nationality values typed by hand over years, that exact-match rule is what breaks first.

Workaround: Audit and align every picklist value before the sync is switched on, and build custom HubSpot properties with matching field types wherever no direct equivalent exists. Settle the language of each picklist in the same pass: a list split between Arabic and English entries will not match on sync no matter how carefully the values are aligned.

Activities and Engagement History Do Not Sync via Data Sync

Calls, tasks, events, notes and email engagement history do not move through the native Data Sync at all; Zoho and HubSpot class all of it as 'soft data' and hand it separate treatment. For a regional sales team whose real record of a relationship sits in the call log and the WhatsApp thread rather than the deal card, that soft data is closer to the institutional memory than the fields that do sync.

Workaround: Three routes carry it across: Smart Transfer's one-time activity migration, CSV export and import for notes, or a third-party tool such as Trujay or Import2. Whichever is chosen moves customer records through an external processor, so put it in front of the information security reviewer as part of the migration plan rather than as a surprise the week before cutover.

Attachments Do Not Sync via Data Sync

File attachments on Zoho records do not travel through the native Data Sync at all, and getting them across needs a migration step of its own. Trade license copies, VAT registration certificates and signed Arabic-language contracts are rarely decorative attachments in a regional deal file, so that separate step is not optional.

Workaround: Smart Transfer's post-sync one-time transfer is the route to take; downloading and re-uploading attachments by hand is realistic only for a small, named set of files. Hand re-uploading is also where an Arabic filename gets mangled, which is the kind of break a later retention review finds long after go-live.

Custom Modules Require Enterprise and Are Not Supported by Smart Transfer

Custom modules sit outside the native Data Sync entirely, and Smart Transfer will not carry them either. On the HubSpot side, receiving them at all means Sales Hub or Service Hub Enterprise, so a Zoho account built on heavily customised modules is looking at both a rebuild and a tier decision before a single record moves.

Workaround: CSV export and import, or an API-based migration, is what moves custom module data, and it lands on top of a HubSpot Enterprise subscription either way. Price the Enterprise tier into the original submission: a budget line discovered mid-project restarts an approval cycle that in this market runs in months rather than days.

Zoho Purchase Orders and Sales Orders Have No Direct HubSpot Equivalent

Quotes, invoices, purchase orders and sales orders all live natively inside Zoho CRM; HubSpot only carries quotes natively, and even those with less capability than Zoho offers. Anyone who has run procurement across a wider Zoho One estate feels this gap immediately, because the CRM was doing commercial-document work HubSpot was never built to replace on its own.

Workaround: HubSpot's native Quotes tool covers quotes; invoices need either an accounting system integration such as QuickBooks or Xero, or HubSpot Revenue Hub. Confirm which accounting platform finance is actually keeping before promising either route, since a regional finance function rarely changes its books to suit a CRM migration.

Original Source Field Not Customizable in HubSpot

Zoho lets a source field carry a named referral or a custom value; HubSpot's equivalent, Original Source, is system-managed and will not accept the same customisation. Anything built on knowing exactly which exhibition, portal or referral relationship brought in a deal loses that granularity on the day of cutover unless it is caught first.

Workaround: Create a custom HubSpot property, something like 'Zoho Lead Source', and preserve the original values there before Original Source overwrites the distinction. Do it before the first sync, because the detail is not recoverable afterwards.

Free Tier Limited to Default Field Mappings Only

Default and standard fields are as far as the free HubSpot Data Sync reaches; custom field mappings need a Data Hub Starter subscription at $15 a month per seat. Treat the free tier as a pilot rather than as the plan, since the fields a regional record is actually identified by, trade license number, VAT registration, entity of record, are almost always custom ones.

Workaround: Data Hub Starter is the tier that turns on custom field mapping, and it is not expensive at $15 a month per seat. Put it in the original budget request rather than surface it after approval: a recurring line added mid-project to an already signed purchase is what turns a two-week step into a two-month one under committee-run procurement.

Five Zoho CRM Features HubSpot Cannot Replace

No workaround closes these. Each one is a capability you would be giving up, so decide who in the business can live without it before you commit to a date.

Purchase Orders

Purchase order tracking has no home in HubSpot at all: replacing it means building custom objects, which needs an Enterprise subscription, or integrating an external system such as QuickBooks or NetSuite instead.

Zia Recommendation Engine

There is no built-in product recommendation engine in HubSpot to replace what Zia does: custom reporting, playbooks or a third-party integration can approximate the cross-sell and upsell suggestions, but none of them run on the same AI-driven purchase-history model Zia does.

Zia Voice

HubSpot does not offer voice-based CRM interaction.

Email Parser

Automatic field extraction from incoming email has no built-in equivalent in HubSpot: Data Hub custom code or a third-party tool such as Zapier or Parseur has to stand in for what the parser used to do.

Check-in (Geo Location)

GPS check-ins and field sales route tracking have no native feature in HubSpot to carry them across: a third-party integration such as Badger Maps or Map My Customers has to add that capability back in.

Three Things a Migration Does Not Rebuild

These are Zoho CRM's own code and products, and a HubSpot migration will not carry them across: they carry no hours in the estimate. They still need a decision before cutover, because you are the one giving something up.

Custom Functions (Deluge)

Every Deluge script behind a workflow, button or scheduled job has to be rewritten in JavaScript on Node.js or in Python, since neither platform reads the other's language: the business logic inside each one needs translating and then testing on its own, and this is typically the most labour-intensive single part of a Zoho migration, worth pricing separately from the rest of the estimate.

Widgets (Custom UI Components)

Widgets must be completely rewritten as HubSpot CRM extensions. Different SDK and rendering model.

Client Scripts

Client scripts must be rebuilt as CRM extensions or custom cards. Many UI customizations may not be directly replicable.

This is the list that separates a quote that holds from one that does not.

Data And Objects

Custom Modules / Custom Objects

A Zoho CRM custom module becomes a HubSpot custom object only through manual work: the schema, the relationships and the data itself all need setting up by hand rather than moving across on their own.

It is plan-gated to a higher tier on the HubSpot side, and Smart Transfer will not touch it at all, so factor both constraints in before promising a timeline.

Products and Line Items

Rebuilding the Zoho Products catalog inside HubSpot's Products library means resetting pricing, SKUs and descriptions rather than importing them wholesale. A regional catalog commonly carries the same item priced in AED, SAR and USD with VAT treated differently market to market, and that structure is far cheaper to settle while the catalog is being entered than once quotes are already going out from it.

CSV import handles the bulk of it, but line item associations with deals still need manual setup afterwards; do not assume the CSV closes the loop on its own.

Invoices and Purchase Orders

There is no direct HubSpot equivalent for Zoho's native invoicing, purchase orders or sales orders, which is a gap worth surfacing early to whoever in finance relies on those documents daily.

Closing that gap usually means integrating with QuickBooks, Xero or whichever accounting system finance is already committed to, rather than finding a HubSpot-native substitute.

Automation

Workflow Rules and Automation

No direct translation exists between the two platforms' logic structures, so Zoho Workflow Rules, Blueprints and the automation logic behind them all need a complete rebuild rather than a migration. Use the rebuild as the moment to write down the approval chain a regional business actually runs on: the discount that needs the finance head's sign-off, the tender response that needs the general manager, instead of leaving it to live in a WhatsApp thread.

Document every active Zoho automation before migration begins, and for each one, list the objects and fields it actually touches. That inventory is what keeps the rebuild from silently dropping a rule nobody remembered was running.

Blueprints (process Management)

A Zoho Blueprint encodes a multi-step process with its approval gates built in, and HubSpot's workflow engine does not receive that shape directly: it has to be redesigned there rather than reproduced. Treat each gate as a decision about who signs off, not just a step to recreate.

HubSpot's workflow engine offers more flexibility than Zoho's Blueprints, but the structure underneath is different enough that a complete redesign is required rather than a like-for-like port.

Assignment Rules

Lead and record assignment rules do not carry across on their own; they need recreating inside HubSpot from scratch.

Rebuilding lead scoring means starting over inside HubSpot's own lead scoring tool rather than importing Zoho's rules directly.

Create a custom property, something like 'Zoho Score', to hold the historical scores through the transition period rather than letting them disappear the moment the old rules stop running.

Email Templates and Mail Merge

Zoho email templates need recreating rather than importing, and mail merge behaves differently enough between the platforms that it is not a copy job. For a bilingual team that recreation is real work: an Arabic template needs its own right-to-left layout rather than an English template with Arabic text dropped into it.

Templates do not migrate: every one of them has to be manually rebuilt in HubSpot, so budget the time rather than assume the import will do it.

Scheduled Actions and Escalation Rules

Scheduled actions and escalation rules have no direct import path either; they need rebuilding as HubSpot time-based workflows, timing included.

Reporting

Custom Reports

Every Zoho CRM report needs rebuilding in HubSpot's reporting tool rather than importing, because the report logic, the filters and the groupings do not translate directly between the two platforms.

Report creation capability tracks the subscription plan, with the advanced report types gated to the highest tiers, so check the feature table for the tier before a specific report is promised to anyone in the business.

Dashboards

Dashboards and analytics views do not carry across either; they need recreating from the ground up inside HubSpot.

How many dashboards and reports are available at all is set by the subscription tier, so confirm the limit against how many the business actually runs today before assuming parity.

Forecasting Configuration

Territories, quotas and forecast categories all need reconfiguring inside HubSpot's own forecasting tool rather than transferring as configured. Build it around how regional deals actually close, through committee sign-off spanning finance, IT and the business owner, since close dates here slip on approval more often than on intent.

Deal Pipelines and Stages

Pipeline and deal stage configuration has to exist in HubSpot before a single deal record migrates, not after, or the stage values will have nothing correct to land against.

Set this up before migrating any deal data. Stage values only match if the pipeline is already there waiting for them.

Web Forms

Lead capture and contact forms need rebuilding as HubSpot forms rather than transferring across. Rebuild them for how the region actually submits: an Arabic form laid out right to left rather than an English one with translated labels, and phone fields that accept the local mobile formats people really type.

Campaigns / Marketing Campaigns

Campaign data and configuration need rebuilding inside HubSpot Marketing Hub, not carrying across, since nothing about a Zoho Campaign transfers as-is.

Users And Permissions

User Roles and Profiles

Zoho's role hierarchy, profiles and permission sets all need recreating in HubSpot rather than transferring across. In a multi-entity regional group, that recreation is a compliance exercise as much as a configuration one: whether someone in a Dubai hub may open a Saudi entity's customer records is a data protection question, and it should be settled with whoever owns that policy before the permission sets are built.

HubSpot's permission model is not a mirror of Zoho's, and some of the more granular permissions simply have no direct equivalent there, so treat any gap as a decision to make rather than a bug to fix.

Third-party Integrations

Every Zoho Marketplace extension and third-party integration, roughly 500 of them across the ecosystem, needs re-evaluating and replacing with a HubSpot App Marketplace equivalent, of which there are over 1,500. Start with the regional stack, because that is where the gaps actually show: WhatsApp Business messaging, local telephony, and the payment gateway a Zoho account built inside a wider Zoho One subscription is likely to be leaning on.

Audit every active integration before migration starts. Anything tying back into Zoho Books, Zoho Projects or another piece of the wider Zoho suite needs an alternative solution found for it rather than assumed to keep working.

Where the CRM sits inside a wider Zoho One subscription, with Books, Projects, Desk or others tightly wired into it, every one of those connections needs a HubSpot-compatible replacement. This is often the real scope of the move: leaving Zoho CRM alone is one project, and leaving the whole Zoho One estate it was bundled into is a considerably larger one.

This is a major consideration wherever the organisation is heavily invested in the wider Zoho ecosystem rather than in Zoho CRM alone.
