Persons
Two wayBecomes Contacts
Email address is the primary deduplication key, and HubSpot requires a valid email address to sync contacts by default, so Pipedrive Persons without email addresses will be excluded from sync. That exclusion bites harder here than the rule suggests, because a large share of regional contact records are built around a mobile number and a WhatsApp thread with no email ever captured. Name handling needs the same attention: HubSpot splits a full name into First Name and Last Name, the first word going to First Name and everything after the first space to Last Name, which turns a name like Abdul Rahman bin Saeed Al Suwaidi into a first name of Abdul and a surname holding all the rest, and does the same to any name entered in Arabic script.
Organizations
Two wayBecomes Companies
Company name and domain are what drive deduplication. Where an app carries both a company name field and a company domain field, HubSpot will match two records that share a company name but differ on domain, and equally two that share a domain but differ on name. Both halves of that rule misfire on regional group structures: a holding company with its mainland and free-zone entities usually sits behind one group domain, so the domain rule pulls together entities that must stay separate for entity-level reporting, while the same business registered under an English trading name and a transliterated Arabic one reads as two companies to the name rule. Decide which entities are genuinely distinct before the first sync rather than after the merge.
Deals
Two wayBecomes Deals
Deal stage labels have to match exactly between the two systems, so build the pipeline in HubSpot before deal sync starts rather than afterwards. Smart Transfer will create a workflow that fills the Close date property in HubSpot from the correct field in Pipedrive, but it only creates a usable deal record when an accompanying sync of contacts and/or companies runs alongside it: without one, a deal can arrive with nothing to attach to.
Email Activities

(Custom) Activities
Two wayBecomes Engagements
Custom and standard Pipedrive activities sync to HubSpot engagements. The object appears as a shared object on the app's HubSpot marketplace listing (read 2026-07-31), but no default field mappings are published for it, so every field on a custom activity type is a mapping decision somebody makes by hand. That matters where the custom types carry the actual work: the site visit in real estate and construction, the WhatsApp follow-up, the branch or clinic appointment. List those types and their fields before the mapping session rather than during it.
Eleven Things the Sync Does Not Tell You
Each one is documented, and each one has ended a migration in a bad week.
Only Contacts, Companies, and Deals Sync via Native Data Sync
The native HubSpot Marketplace integration with Pipedrive carries three object types and no more: contacts (Persons), companies (Organizations) and deals. Activities, notes, calls, emails, tasks and every other piece of engagement data do NOT sync through it. For a regional sales team whose record of a relationship is the call log and the meeting note rather than the deal card, that is most of the institutional memory: in financial services and healthcare, the contact trail an internal review asks for sits in the half that does not move.
Workaround: Three routes exist: Smart Transfer's one-time activity migration, which is limited; a third-party tool such as Trujay, Import2 or Migratr; or a custom API integration built for the purpose. The choice is not purely technical in this market, because a third-party tool moves customer records through an external processor. Name the route in the migration plan early and let the information security reviewer approve it before a cutover date is fixed.
Activities Do Not Transfer via Data Sync
Pipedrive activities (calls, meetings, tasks) do not export in a structured way that can be imported into HubSpot, and the two systems disagree about what an activity belongs to. A Pipedrive activity can only link to one object at a time (deal, lead or project), whereas a HubSpot Engagement can be associated with multiple contacts, companies and deals simultaneously. In a GCC purchase where a single meeting puts finance, IT and the business sponsor in the same room, the HubSpot model is the more truthful one, and reaching it means transforming the history rather than copying it.
Workaround: Third-party migration tools are what move activities. The honest position is that some activity history gets left behind once the budget is finite, so set the cut-off with the people who will be asked about it later: whoever owns the record retention position, not the project team alone.
Notes, Call Logs, and Email Attachments Do Not Sync
Standard Pipedrive exports and the native sync leave out notes, call logs and the email attachments hanging off deals; these count as 'soft data' and are handled separately. Look at what those attachments actually are in a regional deal file: trade license copies, VAT registration certificates, purchase orders, tender submissions and signed Arabic-language contracts. None of it is decorative, and none of it moves on its own.
Workaround: Engagement history needs a capable migration application of its own: Trujay, Import2 or Migratr. Scope it against the documents that matter rather than the whole archive, since the deal files worth paying to move are usually the ones attached to live contracts and open tenders.
Attachments Cannot Be Transferred via Data Sync
File attachments on Pipedrive deals, organizations and persons sit outside a standard data export and outside the native sync, and there is no automated way to transfer them. The exception is Smart Transfer's one-time post-sync transfer, which will carry them into HubSpot. Take that path rather than a manual sweep: hand re-uploading is where an Arabic filename gets mangled and where a document quietly loses the record it was evidence for, which is the kind of break a retention review finds long after go-live.
Workaround: Use Smart Transfer's post-sync attachment transfer. The fallback is manual: download from Pipedrive and re-upload onto the corresponding HubSpot record, which is realistic only for a small and named set of files. Budget people for it if the deal files carry the license and tender documents a regional account team keeps on the record.
Smart Transfer Syncs Email Activities but Not Logged Emails
HubSpot Smart Transfer will sync email activities from Pipedrive, but not logged emails. The sharper change is that HubSpot does not distinguish public emails from private emails the way Pipedrive does, so private correspondence becomes public on migration. Commercial terms, discount history and the relationship notes a senior account owner kept closely held become readable by everyone with portal access, and in most regional organizations that is a decision for whoever owns data governance rather than a detail for the project team.
Workaround: Tell the team what changes before it changes, and decide whether email history needs to move at all. In a bank, a clinic group or a family-owned business where correspondence is closely held, a narrower email migration agreed with the data governance owner is often the sounder answer than a complete one.
Custom Objects Not Supported by Smart Transfer
The transfer of custom objects is not supported by HubSpot Smart Transfer. Anything modeled as a custom object, or as a set of fields simulating an object relationship, needs a custom API-based solution. That lands hardest on the regional use cases which depend on exactly this: units and towers in real estate, tenders and pre-qualifications in construction, licensed entities in financial services, and equipment or production lines in manufacturing.
Workaround: Custom API migration scripts or third-party tools do the work, and custom objects themselves require HubSpot Sales Hub Enterprise or above. Note the sequence that costs projects time here: the Enterprise tier is a budget line, and a budget line discovered mid-project restarts an approval cycle that in this market runs in months rather than days. Price it into the original submission.
Record Associations Can Break During Migration
Contacts, deals and companies can lose their associations in transit, and those relationships are the point of the data. A deal CSV imported into HubSpot arrives with no connection to the contact or the company it originally lived on. Regional account structures suffer most: a group with a holding company, several operating entities and a free-zone entity is held together entirely by those links, and once they are gone nobody can see that eleven accounts are one customer.
Workaround: Smart Transfer preserves associations, so prefer it; where a CSV import is unavoidable, carry association identifiers in the file. Plan for a re-association pass afterwards and give it to someone who knows the group structures by name, because a wrong entity link inside a family group is not something a validation script can spot.
User Ownership Mapping Must Be Explicit
Pipedrive user accounts don't automatically match HubSpot accounts. Without an explicit map, records land in HubSpot with no owner and any workflow trigger that depends on record ownership fires incorrectly or not at all. The mapping is rarely one-to-one across a regional group: the same person appears under a Dubai entity domain in one system and a Riyadh or Cairo one in another, with the name spelled two or three ways between them. Resolve the people before the records.
Workaround: Build the explicit user map before anything moves, one Pipedrive user to one HubSpot user. Confirm it with the country managers instead of working from the user list alone: leavers, shared desk accounts and per-market aliases are normal in multi-entity regional teams, and each one is a set of records that ends up unowned.
Property Type Mismatches Prevent Syncing
Fields with mismatched types between Pipedrive and HubSpot cannot be synced, dropdown options must match perfectly between the platforms, and read-only properties cannot be mapped at all. Dropdowns are where regional data models break: emirate and city lists, free-zone jurisdictions, nationality and language fields, each carrying values typed by hand over years. Date fields deserve their own pass, because a Hijri date kept as free text in Pipedrive is a text field rather than a date, and syncing will not make it one.
Workaround: Audit and align field types and dropdown values before the sync is enabled, and create custom properties with the correct types where none exist. Settle the language of the picklist values in the same pass and write the decision down: a list kept half in Arabic and half in English matches nothing on sync and reports on nothing afterwards.
Free Tier Limited to Default Field Mappings Only
The free HubSpot Data Sync only syncs default and standard fields, and custom field mappings require a Data Hub Starter subscription. In practice the custom fields are the ones a regional record is identified by: trade license number, VAT registration, emirate or region, entity of record. Treat the free tier as a pilot rather than as the plan.
Workaround: Data Hub Starter at $15/month/seat is what unlocks custom field mapping. It is small money and it belongs in the budget submission from the start: adding a recurring per-seat line to an already approved purchase halfway through is what turns a two-week step into a two-month one in a committee-run procurement.
Smart Transfer Works Best Under 10,000 Records
HubSpot Smart Transfer is optimized for simple Pipedrive setups: contacts, companies, deals, standard fields and record counts under 10,000. A larger dataset, or a configuration that has grown complex over years, may require professional migration services. Regional portals often cross that line through configuration rather than volume, carrying a pipeline per market, per legal entity and per product line inside one account.
Workaround: For larger datasets: professional migration services, an API-based migration, or the same work broken into smaller batches. If it is batched, set the calendar first. Ramadan, Eid and the deep summer thin out both the approvals and the people who validate each batch, and a batch that lands with nobody available to check it is a batch nobody trusts later.
One Thing a Migration Does Not Rebuild
This is Pipedrive's own code or product, and a HubSpot migration will not carry it across: it carries no hours in the estimate. It still needs a decision before cutover, because you are the one giving something up.
Custom App Development
Any custom app built on Pipedrive's App Framework has to be rebuilt from nothing for HubSpot: the API, the UI components and the authentication model are all different enough that nothing carries across directly.
The 18 Items That Get Rebuilt by Hand
This is the list that separates a quote that holds from one that does not.
Data And Objects
Products and Product Catalog
Pipedrive Products must be recreated in HubSpot's Products library. Treat it as a rebuild rather than a copy: a regional catalog usually carries the same item priced in AED, SAR and USD, with VAT treated differently from market to market, and that structure is far easier to settle while the catalog is being entered than once quotes are going out from it.

The catalogue itself imports cleanly enough by CSV; what needs a manual pass afterwards is reattaching each product to the deals it belongs on, since that association is not part of what the import carries.
Custom Fields on Activities
Pipedrive custom activity types and custom fields on activities must be recreated as HubSpot engagement properties. Work through them during the rebuild rather than porting them wholesale, and flag the ones holding Arabic free text: those are the fields people will later expect to search and report on, and deciding now whether each stays free text or becomes a picklist costs far less than deciding it after a year of entries.

Lead Labels and Categories
Pipedrive's lead labeling system needs to be replicated using HubSpot properties or lifecycle stages. Rebuild it around where regional demand actually arrives: exhibition and conference floors, property portals, WhatsApp inbound, and referral from an existing group relationship. A label set copied across field for field usually preserves categories nobody has used since an old event season.

Automation
Pipedrive Automations
All Pipedrive automations must be rebuilt from scratch in HubSpot. The logic structures differ fundamentally between the platforms and no direct translation is possible, so a 'Logic Audit' of the Pipedrive workflows comes before any rebuilding. Use that audit for more than an inventory: it is the one moment when the approval chain a regional business actually runs on, the discount that needs the finance head, the tender response that needs the general manager, can be written into the system instead of living in a chat thread.
HubSpot: HubSpot Workflows
HubSpot's workflow engine is more powerful than Pipedrive's, which is both an opportunity and a trap. Document all active Pipedrive automations before migration, then rebuild them against the working week the team actually keeps: time-based steps written for a Monday to Friday calendar misfire in the Gulf markets that run Sunday to Thursday, and misfire again against Ramadan hours.
Email Templates
Pipedrive email templates must be manually recreated in HubSpot. For a bilingual team that is real work rather than retyping: an Arabic template needs its layout built right to left rather than an English template with Arabic pasted into it, and the greeting, the honorific and the signature block differ enough between the two languages that they are better kept as separate templates than as one with a language switch.

There is no automated path for templates: each one is retyped and rebuilt rather than exported and imported, so budget the work as content creation, not as data migration.
Email Sequences
Pipedrive email sequences must be rebuilt as HubSpot Sequences. Rebuild the timing along with the content: a cadence tuned to a Monday to Friday week lands on the wrong days across much of the Gulf, and a sequence that runs into Eid reaches an audience that is not reading it.

Active contacts in sequences should complete before migration cutover, so measure the drain window against the calendar rather than the sequence length. A three-week cadence that crosses Eid al-Fitr takes noticeably longer to finish than one that does not, and that difference belongs in the cutover date.
Smart Contact Data / Enrichment
Pipedrive's Smart Contact Data enrichment feature needs to be replaced. Before the replacement is budgeted, test it against a sample of your own accounts: enrichment coverage varies by market, and a regional account list is the only honest way to see what it returns for the companies you actually sell to.
HubSpot: HubSpot Breeze Intelligence (paid add-on)
Different pricing model: HubSpot charges per enrichment credit, so the cost tracks usage instead of sitting flat. A per-credit line is harder to get approved late than a fixed one, which is an argument for sizing it in the same budget round as the licenses.
Reporting
Custom Reports and Insights
Pipedrive reports and Insights dashboards must be rebuilt from scratch. HubSpot's reporting logic and visualization capabilities differ from Pipedrive's, and chasing a like-for-like copy of an old dashboard tends to end in frustration. Rebuild around the cuts a regional board asks for instead: performance by market and by legal entity rather than by team alone, and reporting periods that acknowledge how Ramadan and the summer months distort any month-on-month comparison drawn across them.

Redesign reports to leverage HubSpot's strengths rather than trying to replicate Pipedrive reports 1:1. Agree the report and property labels in one language before building them: a single dashboard a bilingual leadership team can read together is worth more than two versions of the same numbers under different names.
Sales Goals and Targets
Pipedrive goals and targets must be reconfigured in HubSpot. Use the reconfiguration to stop carrying flat monthly numbers into a year that is not flat here: Ramadan, Eid and the deep summer move buying activity, and targets that ignore them make three months of the year read as failure.

Revenue Forecasting
Pipedrive's revenue forecasting setup must be reconfigured. Build it for how regional deals actually close, through committee sign-off spanning finance, IT and the business owner: close dates slip on approval rather than on intent, so a forecast that tracks where a deal sits in the approval chain reads truer than one weighted by stage alone.

Sales And Marketing Config
Deal Pipelines and Stages
Pipedrive pipelines and deal stages must be set up in HubSpot BEFORE migrating deal data so stage values match. Design the pipeline the region needs while it is still cheap to change: enterprise and public sector purchases here commonly add pre-qualification, tender submission and committee approval as stages in their own right, and adding them once the data has landed means restaging every open deal by hand.

Get this step wrong and there is no clean fix later: pipelines belong in HubSpot before a single deal record moves, not alongside it.
Web Forms and LeadBooster
Pipedrive's LeadBooster set (chatbot, live chat, web forms, prospector) must be replaced with HubSpot equivalents. Rebuild for how the region actually inquires: an Arabic form laid out right to left rather than an English one with translated labels, phone fields that accept the local mobile formats people really type, and a chat path that can end in a WhatsApp handover, which is where most Gulf buyers would rather continue the conversation.

Every embed code already live on a website needs updating to point at the HubSpot replacement, and a missed one fails quietly: the old form stays up and simply stops reaching anyone.
Saved Filters and Views
Every saved filter, custom view and list segment relied on in Pipedrive has to be rebuilt by hand in HubSpot, as a saved view or an active list. None of it carries across in a migration, because none of it was ever data to begin with.

This is configuration, not data, so it needs a person who actually used the old filters to rebuild it, not just the migration team working off the raw field list.
Meeting Scheduler
Pipedrive Scheduler links and configurations must be replaced with HubSpot meeting links. Rebuild the availability rules with the local week and the local day in mind: the working week is not Monday to Friday everywhere in the Gulf, prayer times punctuate the day, and Ramadan hours compress it further. A scheduler offering slots nobody can take is worse than no scheduler at all.

Any meeting link already shared externally, in a signature or a proposal, needs swapping for the HubSpot one, and that swap has to land before Pipedrive access ends, not after.
Users And Permissions
User Roles and Visibility Groups
Pipedrive's visibility groups and permission sets must be recreated in HubSpot. In a multi-entity regional group that is a compliance exercise as much as a configuration one: whether someone in the Dubai hub may open a Saudi entity's customer records is a question with a data protection answer, and it should be settled with the people who own that policy before the permission sets are built.

HubSpot's permission model differs from Pipedrive's visibility groups, so map each Pipedrive user to their HubSpot user before migration and confirm the result with each country lead. A visibility group that quietly let a whole region see everything is a finding to fix during the rebuild, not a setting to reproduce.

The team hierarchy sitting inside Pipedrive is not something a migration tool carries over: HubSpot Teams has to be built from scratch, and it is worth mapping it to how the group is actually organised today rather than reproducing whatever grew unmanaged in Pipedrive over the years, particularly where a country team and a product team both claim the same person.

Integrations
Third-party Integrations and Marketplace Apps
All Pipedrive Marketplace apps and third-party integrations must be evaluated and replaced with HubSpot App Marketplace equivalents. Start with the regional stack, because that is where the gaps show: WhatsApp Business messaging, local telephony, the payment gateway, and the ERP or accounting system the finance team has no intention of changing. Anything with no marketplace equivalent becomes custom work and belongs in the estimate at that moment, not later.

Audit all active integrations before migration. HubSpot's marketplace (1500+ apps) is larger than Pipedrive's, which helps with the mainstream tools and says nothing about a locally built one. Ask each vendor in the regional stack whether it publishes a HubSpot connector before assuming parity.
Zapier/Make Automations Involving Pipedrive
Any Zapier or Make automations that reference Pipedrive must be updated to use HubSpot triggers and actions instead. Treat that inventory as a data map as well as a task list: each scenario moves customer records through a third platform, and a data residency review will ask which ones do and where those platforms hold the data.

Many Zapier automations may become unnecessary once HubSpot's native workflow capabilities are doing the work, and the saving is worth more than the subscription: every scenario retired is one fewer external system holding customer data, and one fewer answer to give when the residency question is asked.
